Solutions for managing knowledge in content & print

Key info for users and decision makers for Xerox DocuShare and ABBYY recognition products.

Restoring a DocuShare file from your backup

Sometimes I like to include an article about a recent issue with a customer.  This DocuShare customer needed to know where a file could be found in the document repository.  In their case, a user did not set a long enough max version count of a while and they need to go back to a previous version from a few weeks ago.  They have the ability to do a per file recovery which would be easiest.  Is there a way to lookup which folder that DocuShare is storing a document in?

Which DocuShare bucket is my document in?  Rather than try to predict where DocuShare places a file, which may be really hard to do given the attention to even distribution across 512 buckets, I thought about this method and tried it.  It should work just fine for you as it identifies how to find the document on your backup file.  Provided you can determine the file handle for the document that you want to retrieve the old version from, do this (using handle 89369 as an example):

E:\xerox\docushare\documents>dir /s/b *. | find "89369"   (splat-dot-space searches only for directories)
E:\xerox\docushare\documents>cd b281\File-89369
E:\xerox\docushare\documents\b281\File-89369>dir /s/b
04/28/2014  12:43 PM            45,583 Document-89369_Document-89369_application-vnd.openxmlformats-officedocument.wordprocessingml.document_0
02/24/2015  12:02 PM            45,602 Document-89369_Version-57788_application-vnd.openxmlformats-officedocument.wordprocessingml.document_0
               2 File(s)         91,185 bytes

Looking at the names and dates of the files shows that Document-89369_Document-89369*.* is the original and Document-89369_Version-57788 is the later version.  Restore them to your PC or the server, rename the file(s) with the proper extension, and open them to examine them for content, just to be sure.  Choose the one you want to return to DocuShare and consider renaming it to match the title of the document and then upload it either as a separate file or as a new version.  Make sure to comment on it so others can tell it was restored.  Check your document's max versions setting to see if it should be changed.  You can change the max versions setting on the collection to affect documents uploaded after that point.

You should consider DocuShare's trashcan feature to be the preliminary backup facility from which you can recover deleted files, but versions that are bumped off the list by virtue of adding a new version and thereby adding plus-one to the max_versions setting do not go to the trashcan.

DocuShare OCR Crawler sale through August

We have an interesting document showing throughput gains using ABBYY Recognition Server over ABBYY FineReader running two or four cores at the bottom of our product page for our DocuShare OCR Crawler.  In this document we show the cost of DocuShare OCR Crawler by itself that you can use with your existing FineReader or Recognition Server and six other bundled offerings.  We'll discount any one of these by 10% in August.  This is a bargain with versatility when compared to Xerox' DocuShare OCR Module $4000 offering which requires Content Rules Manager and Lifecycle Manager for an additional $12,500 in order to be very useful.  ABBYY's Recognition Server can now test PDFs to see if they're already searchable and skip them to avoid wasting time and licensing.  It also leaves you with another 31 workflows that you can connect to copiers, fax systems, email servers, FTP sites, etc. for various conversions.  Create inbox/outbox shared folders to convert scans to Word, Excel, plain text, ePub formats and others.  Call us for a quote based on your requirements and we'll take 10% off the top for the software license.
