New DocuShare 7 Email feature

People have been asking for this for quite some time and it has only previously be addressed through customizations that need to be refreshed after upgrades.
Now you can email directly from DocuShare 7 and cc / bcc others by checking boxes next to content you want to send and then selecting Email from the Edit Select menu.
It advises that you can only send documents and collections of documents.  You can choose to attach them ...
O  As a single zip file
O  As multiple attachments
O  As links to the documents
You can also save your list of recipients for repeated use.  There's also a checkbox for "Cc Me" in case you also want to receive a copy.


New Content Rules Features in DocuShare 7

Aside from being able to better manage your content rules, there are several new actions that can be performed.  These include:

  • Add group permissions
  • Remove group permissions
  • Automatically file content
  • Create routing task
  • Update external database

Update Object Properties into Database

You can create a content rule where certain conditions trigger exporting information to a database.  If you want to export a record of certain metadata when content is added, then this could be a rule for you.  The content rule supports only three DocuShare property types: String, Integer, and Date.  Therefore, the DocuShare_Datatype must equal String, Integer, or Date.  You can view the action settings page for this here: Database_Update_Options.png

Create Routing Task Options

This creates a document routing routine where you fill in ...

  • Approvers: the list of routing task recipients. Separate each DocuShare username or group title with a semicolon. You can also enter user and group handles.
  • Escalate after (days): Notifies the routing task owner if the task is not complete after the specified number of days.
    At the Same time, All Reply: Specifies whether the recipients receive the task at the same time or in order. Enter True to send the routing task to the recipients at the same time. Leave the field empty to send the routing task to the recipients in the order in which they are listed in the Approvers field.
  • At the Same Time, Single Reply: If At the Same Time, All Reply is set to True, specifies whether all recipients need to reply or only one recipient needs to reply to complete the task. Enter True to have only one recipient reply to complete the task. Leave the field empty to require all recipients to reply to complete the task.

Managing site content rules

On the the DocuShare 7 home page, click Content Rules Management under Other Links.  All the content rules on your site will display.

Among other things, you can choose to use the Duplicate Content Rule function to copy the rule to make it available for use in other collections.  For example, let's say you've set up a rule using the new option to export metadata to a database.  Once you have that working you can duplicate this rule for use in other collections.  e.g.: "Export new collection titles to database (Subscription-619)"


ABBYY Recognition Server's New Indexing Feature

With the availability of Recognition Server version 4 release 5 (RS4r5 / RS4R4_1135_14_build_4.0.5.5022) we are now able to load from text files and databases into List fields for indexing.  Prior to this you had to key in the list.  That doesn't work very well when you have long lists or a frequently updated database.  This makes RS4 more practical for relatively low volume indexing operations.  It does not turn RS4 into a capture system, but you can just click on words and numbers to fill in your fields or drag the cursor across a phrase or sentence to pick up multiple words.  You'll likely find you need help with this as we found a bug and a workaround to get it working properly.  Once the bug goes away the workaround shouldn't interfere.  Drop us a note at This email address is being protected from spambots. FS2DS - DocuShare Upload Tool on Sale!

If you need to copy the contents of your file server or PCs to DocuShare to secure and share them with others, there is no better way to do this than by using our FS2DS (File Server to DocuShare) utility.  If you've ever tried to do this with either the DocuShare Windows Client or the DocuShare Drive you know how frustrating the timeouts and trip-ups can be.  FS2DS lets you filter out extraneous files that you really don't want to upload such as Access databases or thumbnail files that show icons for your files in Windows.  The new drag and drop browser interface is limited, too.  It's set to a 200 file upload limit, but you can increase that somewhat.

New Features in DocuShare 7 Regarding Users and Group Membership

Another thing people want is to know what others have been looking at, modifying, deleting, etc. and for that we've developed the DocuShare Audit Assistant.  This provides much more information than DocuShare's Change History feature shown on a per item basis.  There are samples to view on the product page.
