Key information for users and decision makers regarding

Xerox DocuShare and ABBYY recognition products.

Xerox DocuShare Drive 1.0 Now Available

The next generation desktop Client application, DocuShare Drive, is now available. DocuShare Drive provides a seamless integration with the Microsoft Windows operating systems and applications. Appearing as a mapped drive in Windows Explorer, users interact with their DocuShare content as they would content on any other mapped drive. The application is available in English only.

Key Features:

  • Open, edit, and save DocuShare documents from any desktop application using familiar Windows commands.
  • Drag and drop documents and folders to and from DocuShare and between DocuShare servers while maintaining the folder organization.
  • Find DocuShare content using the Windows search feature.
  • Perform common DocuShare document features such as setting property values, checking out and checking in documents, and viewing document version history.

DocuShare Drive can be downloaded from Xerox.com. System requirements are provided on the DocuShare Drive web page.

To use DocuShare Drive you must first uninstall the DocuShare Windows Client, if you've been using that.  You can't run both on the same PC.  While the DocuShare Drive is more universal in its approach allowing it to work with virtually any application, it no longer affords Outlook integration as does the DocuShare Windows Client.  You can drag messages from Outlook into your open DocuShare Drive window, but they will be stored as document objects rather than mail messages.  If you have the Content Rules option and DocuShare 6.6.1 with Update 2 you can set a rule for a collection and all its subcollections to convert newly uploaded document objects with a file extension of .msg to a DocuShare mailmessage object.  This allows your new content from Outlook to appear in the same manner that the Outlook Client provided.  Read the DocuShare KB article about this for more information.  Update 2 also provides better full-text indexing support for Microsoft Office 2013 document types.

ABBYY Recognition Server 4

New document processing scenarios including enhanced integration with Microsoft SharePoint, more PDF features, and enhancements to architecture and administration.

  • Significantly improved fault tolerance and recovery features
  • Converting images within Microsoft SharePoint
  • Processing "read-only" archives and libraries
  • Smart PDF conversion

There's quite a lot more information available in the brochure and what's new overview.

CriteriaFirstWare improved comparisons for scanners

We've recently customized our online store to provide better comparisons of scanners so that you can choose those you find interesting and view their key features side-by-side. Most people look to speed and capacity and want to make sure that it will use their chosen stock, if not just plain paper. You'll want to know what kind of interface it has, typically USB 2.0 or LAN. I also look to see whether it uses CCD or CIS scan technology; I like CCD for scanning books and magazines with a binding down the middle as CIS tends to image poorly anything not pressed against the glass, so this is mostly a concern for flatbed scanners. I also check to see whether it uses CCFL (Lamp) or LED. LEDs don't require a warm-up period when you first start them up or use them after a cool-down period and they will probably never require replacing as a lamp may after eight years or so, but a good lamp may render colors a little better than LED. I appreciate a good bundle of software and knowing whether I need to purchase a cable separately if it's not included. Finally, do I get a short warranty that covers little more than a quality defect in manufacturing or will I get a year or more to assure me that I can go nearly a year before deciding upon extending the warranty. Not all scanners have the option of an extended warranty, so if you use your scanner in moderate to heavy production mode you should choose a scanner with extended warranty options. If the scanner has extended warranties available you should find it next to our Add to Cart button. Be sure to read the warranty when you receive the scanner to comply with the manufacturer's terms.

It took us a lot of time to enter the specs in consistently and the results are really nice. However, I want to apologize for the remaining 99% of our site. What's the problem? Come and see. Unless you have trouble perceiving large areas of necessary white space, you can't miss it. We've been waiting a month for our provider to fix this.  But still, the comparison page looks nice, so come compare some scanners with us and see if you find something you like. Call us if you have questions.

DocuShare Email Agent problems

We were having trouble getting our DocuShare Email Agent to work all the time. It turns out you can't use the Scan To Email option at the same time as the Email Agent. Sophia on DocuShare Support said she'd observed this problem and it's not documented anywhere, but she may create a KB article about it.  Also important, you must have the SMTP option enabled in IIS on your Windows servers.

DocuShare Document Management on LinkedIn

Go to LinkedIn and say you want to join the DocuShare Document Management group.  There are quite a few members.  You may find others with useful backgrounds that you can bounce an idea off once in while.  Get on and search for DocuShare and you'll find this and more.

DocuShare Interest Check

Would there be any interest in archiving your DocuShare Change Activity from DocuShare to a database that would persist past the typical 365 day period before the record is purged?  It appears to be unwieldy to accrue more than about a year's worth of auditable activity in the DocuShare database in that it can noticeably impact performance, but what if you want to retain that information for quite a few years?  Should we copy the data to another database before DocuShare cleans it up?  Let me know if that would be useful to your organization.
